Shareholders and representatives

The Shareholders tab in the shareholder register is where you manage who owns shares in the company — their contact details, transaction history, and access to the shareholder portal.

How shareholders get into the register

After the quickstart onboarding, your shareholder list is already populated from the Tax Agency's shareholder register statement. If you need to add more, or if you are setting up a register from scratch, you have four options:

  • Import from Altinn — retrieve the latest shareholder data directly from the Tax Agency
  • Import from Excel file — download the template, fill in your shareholders, and upload it
  • Add manually — enter each shareholder's details individually
  • Add from portfolio — select a person or company already in your dCompany contact network

Add email addresses

Email addresses are not available in public registers, so they are not imported automatically. After the shareholder list is in place, open each shareholder's profile and add their email address.

Email is required to:

  • Send meeting notices and shareholder communications
  • Invite shareholders to their personal shareholder portal

If a shareholder has no email address on file, they will be excluded from any bulk sends.

Add a representative for company shareholders

When a shareholder is a company rather than a person, you can add a representative — the key contact at that company who will receive communications and access the shareholder portal on the company's behalf.

To add a representative:

  1. Click on the company shareholder's name to open their profile.
  2. Under Representative, add the person's name and email address.
  3. Click Save.

The representative receives all shareholder communications just as an individual shareholder would.

Check the transaction history

After import, verify that the transaction history is complete. The Tax Agency statement only reflects the state at the end of the previous year — any transactions registered in the current year will need to be added manually.

Go to the Transactions tab and check whether:

  • All share transfers, capital increases, or other changes from the current year are registered
  • The share numbers and totals match what you expect

If anything is missing, register the transactions before inviting shareholders or filing the next shareholder register statement.

Invite shareholders to their portal

Once email addresses are in place, use Invite shareholders to send each shareholder a personalised email with a link to their own shareholder portal. From there, shareholders can view their holdings, download share certificates, and follow company notices.

  1. Go to the Shareholders tab.
  2. Click Invite shareholders.
  3. Select the shareholders you want to invite — or select all.
  4. Choose the email language (Norwegian or English).
  5. Click Send.

Each shareholder receives one email with their unique portal link. You can re-send the invitation at any time if a shareholder did not receive it or needs a new link.
