Add a shareholder
Adding a shareholder creates a contact record in the register — no shares are assigned yet. Shares are allocated when you register a transaction manually or process a corporate change through Document robot. The exception is Excel import: you can include share data in the spreadsheet, and the corresponding transaction is registered automatically on import.
Three ways to add
Click + Add in the Shareholders tab to choose how you want to add:
- Add new shareholder — fill in a form with the shareholder's details
- Add from portfolio — reuse an existing contact from another company in your portfolio
- Import from Excel — add multiple shareholders at once from a spreadsheet
Add new shareholder
Select the shareholder type — Personal shareholder or Company shareholder — then fill in the relevant fields.
For personal shareholders:
- Nationality, national ID number, first, middle and last name, birth date
- UTL number, email, phone number, address, country, gender, employee status
For company shareholders:
- Nationality, company name, organisation number, UTL number, address
Both types also have a Bank details section for BIC, account number / IBAN, and bank account country.
Click Save when done.
Add from portfolio
Use this option to reuse a contact that already exists in another company in your portfolio. Search by name or organisation number, tick the shareholders you want to add, and click Add. Their details are copied across — no need to re-enter them.
You can also browse by Board members or CEOs using the tabs at the top of the dialog.
Import from Excel
To add multiple shareholders at once:
- Click Import from Excel and download the template file
- Fill in the template with the shareholders you want to add
- Upload the completed file and click Import shareholders
